The type of personal information I collect

I currently collect and process the following information:

  • Names and contact details provided by students, parents or carers.
  • Information shared with me by students, parents or carers which is relevant to arranging and providing an effective tutoring service.
  • Information relating to tutoring arrangements, appointments and bookings.
  • Feedback voluntarily provided about my tutoring service.

How I get personal information and why I have it

Most of the personal information I process is provided to me directly by students, parents or carers for one or more of the following reasons:

  • To respond to enquiries and arrange tutoring.
  • To maintain a calendar of tutoring appointments and bookings.
  • To record relevant information necessary to allow the individual being tutored to be supported effectively.
  • To communicate with students, parents or carers in connection with the tutoring service.
  • To maintain appropriate business and financial records.

Lawful bases for processing personal information

Under the UK General Data Protection Regulation (UK GDPR), I rely principally on the following lawful bases when processing personal information:

Contract – where processing is necessary to arrange and provide the tutoring service requested.

Legal obligation – where I am required to retain or process particular information in order to comply with a legal requirement.

Legitimate interests – where processing is reasonably necessary for the administration, operation and promotion of my tutoring service, provided that these interests do not override the rights and interests of the individual concerned.

Feedback and testimonials

Following the completion of tutoring, feedback voluntarily provided by students, parents or carers may be used on my website to give prospective clients an indication of previous clients' experiences of my tutoring service. Any feedback published for this purpose will be suitably anonymised. Names, schools and other information which could reasonably identify an individual will not be published. I rely on my legitimate interests in promoting and providing information about my tutoring service when using feedback in this way. If you would prefer feedback you have provided not to be used, or would like feedback already published to be removed, please contact me using the Contact section of the website. I will remove it promptly.

How I store your personal information

Your personal information is stored securely and is retained only for as long as reasonably necessary for the purposes for which it was collected, or where I am required to retain particular information to meet legal, accounting or other regulatory obligations. I do not sell personal information to third parties. Where third-party services are used in the operation of my tutoring business, such as email, website hosting or booking services, personal information may be processed through those services where this is necessary for them to provide their service.

Your data protection rights

Under data protection law, you have rights including:

Your right of access – You have the right to ask me for copies of your personal information.

Your right to rectification – You have the right to ask me to correct personal information you think is inaccurate. You also have the right to ask me to complete information you think is incomplete.

Your right to erasure – You have the right to ask me to erase your personal information in certain circumstances.

Your right to restriction of processing – You have the right to ask me to restrict the processing of your personal information in certain circumstances.

Your right to object to processing – You have the right to object to the processing of your personal information in certain circumstances.

Your right to data portability – In certain circumstances, you have the right to ask that I transfer personal information you provided to another organisation, or to you.

You are not required to pay any charge for exercising your rights. If you make a request, I will normally respond within one month.

Please contact me using the Contact section of the website if you wish to make a request.

How to complain

If you have any concerns about my use of your personal information, please contact me using the Contact section of the website.

You can also complain to the Information Commissioner's Office (ICO) if you are unhappy with how I have used your personal information.
